Retaining an Executive Director

Drafting a position description or request for proposal (RFP) should detail the required qualifications, responsibilities/scope of services and define fees and hourly rates (note: the RFP should request hourly fees/rates or state a budget that the Chapter has available so that the response can be tailored to fit the budget). Crafting a position description/RFP that’s thoughtful and well written with clear response expectations is key to receiving comparable submissions.

An RFP should include a full set of expectations in terms of scope, in addition to your Chapter’s bylaws, event descriptions, meeting frequency and attendance expectations. The RFP should also provide details on how the selection process will be managed and who will be the point of contact.

Ideally, a draft contract should be included with the RFP so the Executive Director can get an idea of what terms and conditions the Chapter is seeking to work by. The term of the Executive Director's contract, how it’s renewed or extended and evaluation criteria (performance review) should also be thought out well in advance of issuing an RFP.

Once an Executive Director is contracted, your Chapter must establish a clear path of communication and how you expect the Executive Director to communicate with the Executive Committee and Chapter members. 

Items such as decision making, complaint resolution, frequency of performance reviews and contract renewal should be mutually agreed upon and outlined in a contract/professional services agreement.

Retaining a State Lobbyist
