Virtual Programs

The need for hosting programs virtually significantly increased during 2020. If you are looking to host your first virtual Chapter program or improve upon the last one your Chapter hosted, below are just a few resources to aid in virtual programming success.

As Chapters moved in-person events to virtual, Zoom put together a "Running Engaging Online Events" ebook to guide Zoom users through creating informative, interactive and engaging online events. The ebook details preparing for your event, using the right tools, leveraging Zoom integrations, building an interactive experience, preparing your team, promoting your event and post-event follow-up.

To maintain professionalism during virtual programs, Chapters are encouraged to adopt the NAIFA Code of Conduct for Virtual Programs. All registrants, attendees and participants of virtual programs must comply with this Code of Conduct, which requires adherence to five rules. 

Hybrid Programs

Hybrid programs can be an attractive option as a way to share live content with those who cannot participate in person. However, they are not without their challenges.

There is a strong tendency to underestimate the logistics and technical requirements to provide a quality experience for the virtual viewer. While it may seem as simple as connecting a webcam or using a cell phone, you should plan for the quality of the experience to be equal to the effort it requires.

If you are not charging for the virtual experience or there is a limited segment in a single room that you just want to allow members to be a virtual "fly on the wall," then a low-budget solution may get it done. However, if you want to provide a high-quality and interactive experience, be prepared to invest five figures into an AV budget for a production crew.

Watch Parties

Watch parties can facilitate in-person networking and connection while live-streaming an industry expert or motivational speaker. 

Many Chapters became acquainted with watch parties with the introduction of NAIFA Live. While Chapters are encouraged to continue NAIFA Live watch parties, Chapters can also host watch parties for other NAIFA events, Chapter events, etc. 

Technical Requirements

• • Internet Connection (recommended bandwidth: 25 Mbps)
  • Computer with Video Output
  • HDTV Monitor or Projector/Screen with Matching Video Input
  • HD Web or Conference Camera (Optional)
  • Appropriate Speakers or Sound System
    • If presenting a speaker to multiple people, it is strongly recommended you use a set of good speakers connected to the computer rather than the computer’s built-in speaker. If your meeting room is not equipped with external speakers for the computer, Logitech, Jensen and Bose are all reliable brands with speakers priced from $12 to several hundred dollars. An audio connection also may be made with a speakerphone. If a speakerphone is used, it needs to be muted so as not to interrupt the presenter.

At a watch party, it is strongly encouraged to have a post-presentation discussion. Many speakers can provide Chapters with case studies and discussion prompts to explore the presentation topic in greater depth and gain the experience and insights of those around. Before the watch party, a moderator should be identified to facilitate the group discussion. 

Other Watch Party Tips:

• • Have an agenda and a schedule.
  • Cover any NAIFA business.
  • Invite nonmembers to join.
